Answering services and AI agents
Do you offer a 24/7 answering service?
Yes. Calls, texts and forms are answered at any hour, and we put a human on the phone whenever we can. People book more often when a person picks up, so we design coverage around your team first. When a person can't take every call, at night, on weekends or during a rush, our AI agent answers for you. It handles basic questions, collects the caller's details, and gets a person on your team involved as soon as one is needed. Answering the call isn't enough, though. A message that says “John called” doesn't move a sale forward. Judge any answering service by the extra gross profit it brings in, not by how many calls it answers.
How does your after hours answering service work?
After hours, our AI agent answers right away and decides whether the caller needs a person now, later, or not at all. What happens next depends on the call:
- An emergency goes straight through to whoever is on call, after the agent does a quick triage and takes down a few details. We keep it brief, but get enough to reach the caller if the transfer doesn't connect. If it doesn't, whoever is on call gets a text and an email right away to call the lead back.
- A bid or estimate: the agent books the first appointment and alerts your team to follow up.
- A caller who isn't ready to book gets a text or email. Your booking agent is alerted at the same time to call them back first thing.
Every call is logged in your tracking system, so no lead gets lost overnight.
When should you outsource inbound call center services?
Outsource only the calls your team can't take, such as after hours, during spikes or when every line is busy. Keep the conversations that win sales with your own people. A traditional call center adds capacity, but its agents don't know your business, and the calls that matter most get passed along as messages. We don't run a call center. We set up your inbound calls so your own team answers as many as possible, and our AI agent covers the rest. A well-trained AI agent that's updated continually can answer the phone better than a standard call center. We learn from how callers respond to it, so we can make quick, steady improvements to how it answers. It can answer specific questions about your business and take down the details your team needs for an estimate. Then it books the appointment, sends urgent calls to the right person, and flags every lead for follow-up.
How does an AI answering service work?
An AI answering service answers your calls with a voice agent that understands what the caller says and responds in a natural voice. A basic AI answering service does three things:
- It answers basic questions about your services, hours and service area.
- It recognizes when a caller needs to talk to a human.
- It takes down the caller's contact information.
Ours goes further. It's built around how your best salesperson handles a call, so it can answer specific questions about your business and collect the details your team needs for an estimate. It books the appointment, transfers the call, or alerts your team, and every call ends up in your tracking system. We review how callers respond to it and keep improving how it answers.
Can an AI receptionist replace a human receptionist?
No, and it shouldn't try to. A person answering the phone books more appointments, so our policy is to have one answer as often as possible. An AI receptionist covers the calls a person can't take: after hours, during lunch, when two calls come in at once, or on a busy Monday. It answers right away, handles the simple questions, and gets your team involved for everything else. The goal is that no caller hits voicemail. Taking your receptionist out of the job isn't the goal.
What makes the best AI answering service?
The best AI answering service has to be retrained and updated continuously, the same way a person would. An AI agent that's set up once and left alone gets worse as your services, prices and customers change, and no system performs well when it's set and forgotten. What makes one good is a feedback loop: someone reviews its calls, finds where it fell short, and retrains it. We build that feedback loop into every AI agent we set up, and we run it, so the agent adapts to your business and keeps performing at its best.
Conversion, follow-up and sales management
What does a conversion rate optimization agency do?
A conversion rate optimization agency finds where people drop out on the way to becoming customers, then fixes those points so more of them buy. Most agencies stop at the website: audits, heatmaps, landing pages, forms and A/B tests. We do that, and we go further. We optimize the front end, from the first search to the first contact, and the back end, from the first contact to the closed sale. That includes how leads are answered, followed up, tracked and reported. Our assessment comes first, because website testing can be slow and costly. If a bigger leak costs less to fix, we fix that first.
How many times should you follow up on a sales lead?
Until you get a firm yes or a firm no, or until the lead is better left alone for now. A good starting point is four to seven follow-ups spread over two to four weeks. Each one should add something new, not just “checking in.” Calling and texting too many times in a short window annoys people. They block you and tell others. Push too hard early and you also lose the chance to bring that lead back later in a reactivation campaign. The first contact matters most: the faster you reply, the more likely the lead converts in the first few touches.
What is database reactivation?
Database reactivation means contacting past customers and old leads already in your system and giving them a reason to come back. Most businesses are sitting on years of contacts nobody reaches out to anymore. Those include estimates that never closed, customers due for service, and leads that went quiet. You already paid to get every one of them, so a well-timed check-in or offer is often the cheapest revenue you can find. We build reactivation that runs over text and email, books replies straight into your calendar, and reports every result. It only contacts people who haven't opted out.
Should I hire a fractional sales manager?
You may not need a fractional sales manager once the right systems are in place. A fractional sales manager, sometimes called a fractional VP of sales, is an experienced sales leader you hire part time to coach reps, set targets and keep the pipeline moving. Most of that job is watching who is following up, which deals are stalling and when someone needs to step in. We build engagement systems that track all of that and flag it automatically. With those systems in place, one of your own salespeople can be trained to manage the team, without bringing in an outside manager.

Ask it on a 30 minute Conversion Diagnostic Call. We'll go through how your leads become customers, stage by stage, and show you where revenue is slipping.
You keep the leak report and fix list either way.
